• Collect compensation and benefit policies, including salary structure, overtime, shift allowance, attendance incentives, leave deductions, welfare benefits, and fund contributions (if applicable).
• Review employee master data: salary details, tax status, dependents, ID/social security numbers, and bank account information.
• Establish the monthly operational calendar, covering cut-off dates, data submission dates, approval dates, payment dates, and filing deadlines.
• Define the SLA, data submission/approval channels, and information security measures.
• Configure salary calculation formulas and all earning/deduction components in accordance with company policies.
• Set up tax withholding parameters (including P.N.D.1 calculations) and all related tax data fields.
• Configure social security settings: insured wage base, employee/employer contributions, and employee insured status.
• Perform a Trial Run and compare results with samples or previous payroll cycles to validate accuracy before go-live.
• Receive monthly inputs: attendance, overtime, leave, salary adjustments, bonuses, and other deductions.
• Process payroll, perform quality checks (QC), and submit reports for client approval.
• Prepare all output files and statutory summaries, including
- Payslips, Payroll Register, and cost summary reports
- Bank transfer file (if applicable)
- Monthly withholding tax summary (P.N.D.1) and Social Security contribution totals
• Deliver payslips, reports, and bank transfer files according to schedule via secure channels.
• Submit Social Security filings (contribution summary and employee list) and provide filing evidence/results to the client.
• Submit monthly withholding tax (P.N.D.1) and provide filing evidence/results to the client.
• Handle correction cases when required, such as retroactive adjustments, mid-month hires/terminations, and additional documentation.
• Summarize key issues and recommendations to improve the next payroll cycle.
